Seasonal Admissions Coordinator

Poly Prep seeks applicants for the position of Seasonal Admissions Coordinator for the 2026-27 fiscal year. This is a wonderful opportunity to be part of a collaborative and mission-driven team during one of the busiest and most exciting times of the school year. The Seasonal Admissions Coordinator reports to the Director of Admissions, Enrollment, and Financial Aid and works closely with the Associate Directors of Admissions. This role provides essential administrative and operational support to the Admissions Office, primarily focused on the Lower School, with some cross-divisional responsibilities. The ideal candidate is organized, people-centered, and energized by working in a dynamic and fast-paced environment. 

PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

  • Assist with admissions events including open houses, information sessions, interview days, etc and prepare all necessary materials to ensure a smooth experience for attendees.
  • Collaborate with other departments including Facilities, Catering, and Security to support event execution. 
  • Maintain and update applicant records in the admissions portal under the guidance of department leadership. 
  • Proactively track missing documentation to ensure completion of all Lower School applicant files. 
  • Support the Lower School parent ambassador program by helping coordinate volunteer recruitment, communications, and event participation 
  • Conduct Nursery - Grade 4 parent/guardian interviews as needed
  • Serve as a warm and knowledgeable point of contact for prospective Lower School families throughout the admissions process 

QUALIFICATIONS 

Education: Bachelor's degree in Education required 

Experience: Two years of admissions or education experience, preferably in an independent school setting, with a preference for candidates who have a background in early childhood education 

Salary: $25,000 - $35,000

  • Strong written and verbal communication skills 
  • Excellent interpersonal skills with the ability to consistently provide a high level of responsiveness and warmth to prospective families 
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment 
  • High integrity and discretion in handling sensitive and confidential family and applicant information 
  • Proficiency in Google Workspace; familiarity with admissions platforms such as Ravenna is a plus 
  • Demonstrated commitment to fostering an inclusive and diverse community
  • Ability to work both collaboratively as part of a team and independently 

Special Requirements: 

  • Must be available for admissions events held on evenings and weekends
  • Ability to travel between campuses as needed 
  • Comfortable working in a high-volume environment during peak admissions season, typically October through March
