Director of Facilities

Poly Prep seeks applicants for the position of Director of Facilities. As an integral part of the Operations team, the candidate will represent the mission and values of Poly Prep to be reflected in the operations of all facilities and with the team. The candidate should have strong communication and project management skill set, attention to detail, work collaboratively with others and a passion for consummate improvement and growth. The Director of Facilities will be responsible for supporting the Head of Facility Management and Capital Projects, in conveying timelines, memorializing deferred maintenance schedules, audit requirements and communicating expectations clearly. 

PRIMARY RESPONSIBILITIES

 

  • Provide logistical support to the Head of Facility Management and Capital Projects.
  • Works alongside the Head of Facility Management and Capital Projects and serves on the management team.
  • Participates in the strategic planning and implementation for dual campuses and assists the Head of Facility Management and Capital Projects implementing the strategic plan/s.
  • Interacts with the Engineering Department, maintains operations inventory, and manages the facility maintenance schedule.
  • Liaise with vendors and contractors, reviewing proposals, overseeing work and approving invoices.
  • Assists in the planning and the implementation of Capital Projects and produces field reports of those projects.
  • Conduct staff evaluations and establish performance goals and measures for the Grounds staff.
  • Manages the Grounds Staff, outsourced landscaping, executes ground’s initiatives, and maintains DOB compliance with local laws, regulations and codes.
  • Proactively manage the Grounds staff schedule, details and development and to ensure they have the information, tools and support needed to perform their jobs effectively and successfully.
  • Process payroll for Grounds and Engineering.
  • Communicates and collaborates with various departments (The Business Office, Academic Divisions, Admissions, Advancement, Communications, Security, Information Technology, Athletics, Food and Beverage, Human Resources, Office of Head of School) on day-to-day operation issues, as well as future projects.
  • Manage inventory, coordinating/facilitating the purchases as needed, verifies costs/receipts.
  • Procures furniture and fixtures.
  • Monitor expenses to ensure adherence to budgetary requirements.
  • Responds to operational needs and after-hour emergencies.
  • Performs other duties as assigned by the Head of Facilities Management and Capital Projects.  

QUALIFICATIONS

Education: Bachelor’s Degree in Facilities Management, Engineering or Business Administration is Encouraged. An Advanced degree is preferred

Experience: Minimum of 7-10 years of experience in facilities management, preferably in schools; at least 2 to 5 years in a supervisory capacity. Proven leadership experience with the ability to motivate, mentor, and develop a diverse team of professionals. Experience with budget management and capital forecasting.  Familiarity with regulatory requirements and industry best practices in facilities management, including building codes and safety regulations. Experience and knowledge of implementing environmentally sustainable solutions. Knowledge of LL97 and other local laws.

Specific Skills: Excellent communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels. Fluency in Spanish is strongly preferred. Detail-oriented with strong analytical and problem-solving abilities. Intermediate experience with Microsoft Word, Microsoft Excel, Google Platform and automated payroll. Strong technical knowledge of HVAC systems, building automation systems (BAS), and energy management systems (EMS). Proficiency in computerized maintenance management systems (CMMS) and facility management software. Ability to use DOB, FDNY, and other relevant filing websites. Affinity for a socially dynamic workplace, a community that strives for all of its members to be known and cared for.

Certifications: FMP or CFM Certifications is a plus.

Special Requirements: Travel between the Dyker Heights and Park Slope campuses as necessary. Have flexibility to work nights and weekends.

Salary Range: $100,000-$115,000
